Job description

As part of a major site integration and digital transformation initiative, a dedicated Integration Team has been established to lead the strategic alignment of a production site within a larger global organization. This transformation includes the modernization of IT systems, standardization of operational processes, and full integration into the new corporate ecosystem.

The Project Coordinator (PC) will play a critical support role within the Integration Team, ensuring smooth coordination across multiple cross-functional projects. You will be instrumental in maintaining project governance, facilitating communication, and supporting the execution of key initiatives-particularly those related to IT infrastructure upgrades, system transitions (including ERP implementation), and compliance with global standards.

Reporting directly to the Site Integration Project Manager, you will work closely with local and global stakeholders to ensure alignment, timely delivery, and accurate documentation of all project activities. This role requires a detail-oriented, proactive individual who thrives in dynamic, fast-paced environments and is committed to operational excellence.

Key Responsibilities

Support the coordination and monitoring of multiple concurrent integration and transformation projects across technical, operational, and administrative domains.

Assist in project planning, scheduling, and reporting; ensure adherence to project timelines, milestones, and deliverables.

Facilitate effective communication between project teams, working groups, and leadership by organizing and preparing for meetings, workshops, and board sessions.

Prepare agendas, take minutes, track action items, and ensure follow-up on decisions and responsibilities.

Maintain up-to-date project documentation, including status reports, risk logs, and change requests.

Support the Project Manager and team assistants with administrative tasks, including calendar management, travel coordination, and resource tracking.

Act as a central point of contact for project-related logistics and information sharing.

Contribute to the development and maintenance of standardized templates, procedures, and documentation.

Respond promptly to ad hoc requests and support evolving project needs based on roadmap changes.

Requirements

Do you have experience in Project coordination?, Do you have a Master's degree?, Bachelor's or Master's degree in Science, Engineering, Biotechnology, or a related technical field.

At least one year of experience in project coordination, administration, or support within a regulated industry (pharmaceuticals, biotechnology, or medical devices preferred).

Solid understanding of GMP (Good Manufacturing Practice) principles and quality systems.

Proven ability to manage multiple priorities, meet deadlines, and maintain high attention to detail.

Advanced proficiency in Microsoft Office Suite (especially Excel, Outlook, PowerPoint, Teams), with mandatory experience in Microsoft Project.

Strong organizational, analytical, and problem-solving skills; ability to think critically and act independently.

Excellent written and verbal communication skills in English and French (both spoken and written); knowledge of Dutch is a strong advantage.

Comfortable working in a hybrid or on-site environment, with site presence required for effective collaboration and project continuity.
