Job description
The Information Manager will be responsible for ensuring that all customer information created, stored, shared, and managed on the platform complies with applicable MOD and customer policy, legislation, and operational requirements. This includes overseeing the transition from legacy information systems to SharePoint, maintaining robust access controls, and supporting operational teams with best-practice information management., Information Governance and Compliance
- Ensure all data is handled in accordance with all applicable customer policy.
- Maintain robust audit trails for access permissions, data segregation, and lifecycle management (creation, storage, protection, archiving, and destruction).
- Collaborate with the relevant cyber teams to investigate and respond to any suspected data breaches.
- Monitor and report on compliance with information handling policies and escalate risks or breaches as necessary.
Role Based Access Control and Permissions Management
- Apply and manage NTFS permissions to restrict access to users with a legitimate business need.
- Control and manage SharePoint permissions, ensuring appropriate segregation and role-based access.
- Maintain Permission Groups and manage access to data repositories. SLAs include completing all requests within 2 working days, utilising the customer ITSM tool of choice.
Archiving Data
- Archive data in accordance with the relevant customer policies.
SharePoint Architecture and Migration
- Design and implement a SharePoint file structure that aligns with best practice and customer policy.
- Import data from legacy systems to new structures, as part of obsolescence strategy.
- Ensure metadata, naming conventions, and folder structures are compliant and optimised for searchability and governance.
Operational Support and Training
- Provide advice and support to users on information management best practices.
- Deliver training and onboarding for new users, to include standard users and super users.
- Act as the first point of contact for information management queries and issues.
- Provide advice on all relevant IM matters to critical stakeholders.
Requirements
- In depth knowledge and understanding of best practice IM policy and the utilisation of SharePoint.
- Excellent stakeholder management skills across different levels.
- Experience in training users in data management use.
- Understanding of risk management and mitigation.
- Excellent communication skills utilising different methods.
