As a System Administrator at Vantify, you will be responsible for managing and maintaining essential internal systems through a variety of administrative tasks. This includes adding and managing users, maintaining client and property data, responding to client queries and providing ongoing support for new system users. You will also liaise with clients and suppliers to ensure accurate data entry, troubleshoot system issues and assist with client onboarding. This role is ideal for someone who excels in administrative tasks and enjoys being the central point of contact for both internal teams and clients.

What you'll be getting up to

System Administration & Data Management:

  • Administrate and manage internal software systems by adding users, managing system relationships, maintaining client data, adding property information and uploading site information.
  • Ensure that all data entered into the system is accurate and updated as needed to reflect current client and project status.

Client & User Support:

  • Respond to a variety of general queries from clients and users within the Service Level Agreement (SLA).
  • Answer calls to the administration support line promptly, ensuring that support is provided in a timely and effective manner.
  • Act as the first point of contact for new system users, providing them with the necessary training and guidance.

Liaison & Data Entry:

  • Regularly liaise with clients and service providers to collect and ensure that all relevant data is accurately entered into the system.
  • Collaborate with clients to verify and maintain up to date records, ensuring system integrity.

Troubleshooting & Issue Resolution:

  • Troubleshoot issues with the system and identify solutions to resolve any technical or operational challenges that arise.
  • Provide ongoing support to both users and clients, addressing any system issues as they occur.

Client Onboarding & Reporting:

  • Support the contract manager during the mobilisation of new clients, ensuring a smooth transition and onboarding process.
  • Provide client reports, assist with the training of suppliers and client users and manage the onboarding of new suppliers.
  • Follow up with clients and suppliers to ensure that all necessary steps are completed in a timely manner.

Administrative Support:

  • Carry out various administrative tasks and support queries to ensure the smooth running of the team's daily operations.
  • Assist with chasing up suppliers and clients to ensure timely updates and actions are taken in line with agreed SLAs.

In order to excel in this role you need…

  • Experience with system administration, data entry and user support
  • Experience in an administrative role or in a support capacity
  • Communication skills are key to this role
  • The ability to multitask and maintain several databases of information at once.

  • Working Pattern: Monday to Friday
