What will I be doing? You will report directly to the Head of Facilities, but will support with the greater Production Operations business area. The duties of this role cover a wide variety of Technical Administrative tasks and interactions with multiple stakeholders and departments, supporting both reactive and planned maintenance coordination, purchasing etc.
Day to day tasks:
- Audit & Compliance - LMBuildings Management and administration, Control of documents to maintain statutory compliance, and asset history.
- Assessing technical and OEM documents to assist in generation of planned maintenance tasks. Contract renewal management, Audit, and insurance inspection support.
- Working with and providing support to the Command Media Lead on any new documents, revisions, or reviews.
- Business Process - Supporting business with booking in Visitors (up to VIP), ensuring approvals are processed and managing Contractor Calendar to ensure planned facilities works are coordinated to support visits.
- Administration of EV Charging points - online booking system. Add New Users - Meet & Greet, Collate Data - produce reports as required.
- Management of Workwear, inc. new starters, management of documentation via Policy Hub system
- Finance - Providing data and information as required - weekly management metrics. P-Card Orders ,
- Purchase requisitions/orders, Emergency PO coordination, RFQ via procurement (Non-Program Specific Consumable Tooling Purchases).
- Administration of Facility Condition Assessment (FCA) Module - scoring and costing replacement of aged assets.
- Ad Hoc support - Work Exp week , Community outreach, National Manufacturing Day, internal comms, Production Operations SharePoint site - keeping up to date and current.
- Supporting Production Operations Management Team with ad hoc tasks as requested. Supporting Facilities with Business Resilience and Continuity activities.
Requirements
- Proven experience within a similar Technical Administration focused role, preferably in a Facilities / Engineering environment.
- Excellent communications skills both written and verbal across all levels within the organisation.
- IT skills with a knowledge of SAP, Tririga /Maximo-type CMMS, SharePoint and MS office packages particularly MS Word, MS Excel, PowerPoint and Outlook.
- The ability to work at pace within cross functional teams, being self-motivated with strong organisational skills and attention to detail.
