Job description

We have an exciting opportunity for a Document Controller in our newly formed ASTI Projects team within Field Operations. Reporting to the PMO Lead, you'll provide document control for complex multi-site projects to ensure the delivery of compliant and traceable project documentation.

We offer flexibility on location, with the role based from any NGED depot within our licence areas: East Midlands, South West, West Midlands or Wales-agreed with the successful candidate.

As part of our hybrid working approach, this role provides a blend of office, site and home working, with some occasional travel.

Main Responsibilities

  • Act as the main interface with the Main Works Contractor's document controllers and systems, ensuring all contractual documents are managed in line with National Grid policies and procedures
  • Ensure all documents are reviewed and approved by the appropriate individuals or functions before issue
  • Maintain clear identification of document changes and revision status, ensuring all versions remain legible and easily traceable
  • Prepare transmittal indexes where required
  • Control, track and record documentation throughout the full project lifecycle, ensuring a robust audit trail
  • Prevent unintended use of obsolete documents and apply appropriate identification where documents are retained for reference
  • Support the Project Team by securing required documentation from contractors and suppliers to meet project phase gates or commissioning requirements and any additional administration tasks
  • Administer and maintain the SharePoint site, including access control, permissions, updates and audits
  • Support continuous improvement across Information and Knowledge Management processes
  • Maintain, review and audit the Records Retention Schedule

Requirements

  • Proven experience working in a document control environment.
  • Confident using Common Data Environments (CDEs) and collaboration software
  • Strong IT skills, particularly with Microsoft 365 applications including SharePoint, Excel, Word and PowerPoint
  • Excellent attention to detail and strong organisational skills
  • Commitment to maintaining high-quality documentation and following established processes
  • Desirable: Experience with Bentley ProjectWise or other engineering workflow user systems .#LI-SC1 #LI-HYBRID
