Job description

As a support administrator you will provide support administrative and coordination support for the employability and placements function, ensuring smooth communication between students, employers, and internal staff. The support administrator will play a vital role in helping students prepare for and succeed in work placements while supporting employers with their recruitment, hiring, and onboarding processes. This role is located within the Employability domain which exists to help students and graduates realise the potential of their degree, helping them to positively shape the world around them.

Employability is a core principle that ensures our students are equipped with the skills, resources, and confidence to thrive in their future careers. This new role plays a key part in supporting our organisation's innovative employability strategy, empowering the team to deliver entrepreneurial and experiential opportunities. You'll help students explore diverse career pathways and prepare for life beyond university., * Act as a first point of contact for students seeking support with placements, CVs, application forms, and work readiness queries.

  • Support with necessary administration procedures both internal and external apprentices.
  • Maintain accurate student records, placement status trackers, and document submission logs (e.g., health & safety forms, DBS, risk assessments).
  • Support students with appointment scheduling, reminders, and guidance throughout their placement journey.
  • Promote employability resources and opportunities through email, noticeboards, and student platforms.
  • Assist in organising workshops, careers fairs, and employer-led sessions.
  • Ensure mailboxes, SharePoint and intranet pages are maintained.

Employer-Facing Duties

  • Liaise with employers to confirm placement arrangements, collect necessary compliance documentation, and provide ongoing support.
  • Prepare and send placement confirmation letters, partnership forms, and feedback surveys.
  • Coordinate employer meetings or visits alongside the Placement Officer or relevant staff.
  • Ensure employer databases are current and GDPR compliant.
  • Act as a point of contact for employer queries, ensuring timely and professional communication.
  • Support employer engagement events such as career fairs, employer panels, and networking sessions.
  • Gather employer feedback post-placement to inform continuous improvement
  • Build and maintain strong relationships with existing and potential employer partners.

Requirements

Do you have a valid Social Work England Registration, Social Work England license?, Do you have experience in Time management?, * Career Guidance or equivalent qualification

  • Career Coach / Career Counsellor certification
  • Experience or qualifications in Coaching and Mentoring
  • Employability and Career Counselling expertise
  • An IAG qualification - Level 2 or Level 3 (e.g., Career Advisors, Guidance Counsellors), · Track record of effective administration support for large teams.

· Ability to analyse data, identify trends and produce reports.

· Good written and verbal communications skills.

· Good in building relationships with stakeholders.

· Excellent organisational and time management skills, with the ability to prioritise tasks effectively.

· Flexible and adaptable approach to changing priorities and business needs.

· A proactive problem-solver with a can-do attitude and willingness to take initiative., * student support: 1 year (preferred)
