Job description

As a Document Controller, you will be responsible for administering, logging and managing project information within the CRM system (ProCore). You will liaise closely with operations and site delivery teams, supporting multiple projects across Industrial, Commercial, Retail, and Education sectors. Responsibilities include managing document workflows, ensuring data security, conducting quality assurance checks and providing accurate, up-to-date information in a timely manner., * Carry out initial quality assurance checks on all incoming and uploaded documentation.

  • Prepare and manage document submission packages, ensuring all project documentation is accurate and compliant.
  • Produce and distribute regular project reports, including tracking outstanding information and RFIs.
  • Monitor document submission deadlines and report on compliance with project requirements.
  • Support Design and Project Managers with RFIs, technical submissions, and project close-out documentation.
  • Assist in the preparation and distribution of design and project-related reports to clients.
  • Establish and maintain structured digital filing systems, including the creation of work package folders.
  • Upload, organize and maintain Health & Safety documentation, including RAMS and inspections.
  • Provide support during internal and external audits by ensuring documentation is accurate and readily accessible.
  • Deliver training and guidance to internal teams and external stakeholders on document control systems and processes.
  • Ensure confidentiality and secure handling of sensitive project information at all times.
  • Take ownership of all project documentation and drawings, ensuring accuracy and control.

Requirements

Do you have experience in Document management systems?, * Previous / Current experience using ProCore software (Essential)

  • Experience working on construction projects with a strong understanding of documentation systems.
